How to create a receipt with this tool

  1. Enter your business details. These identify who received the money.
  2. Add the person or company who paid you.
  3. Set the receipt number and the date the payment actually cleared — not the date you are writing the receipt.
  4. List what the payment covers, then choose how it was paid.
  5. If it was a part payment, enter the amount received; the balance is worked out for you. Then download the PDF.

What is the difference between a receipt and an invoice?

An invoice asks for money; a receipt confirms it arrived. They are written in different tenses and serve different people. Your customer keeps the invoice to know what to pay and the receipt to prove they paid it — which matters for their own bookkeeping, for expense claims, and for warranty or refund claims later. Issuing both is normal, and for cash payments the receipt is often the only record either side has.

What should a payment receipt include?

The name and address of whoever received the money, the name of whoever paid it, a unique receipt number, the date the payment cleared, what the payment was for, the amount received, and how it was paid. If the payment was partial, state the remaining balance plainly — a receipt that quietly omits it invites a dispute later. Where sales tax applies, showing the tax separately lets your customer reclaim it.

Can I issue a receipt for a part payment?

Yes, and you should. Enter what you actually received in the amount field and the tool works out the balance and shows it in red on the document. Leave that field blank and the receipt is marked as paid in full. Deposits, instalments and staged payments all work this way, and having each one on paper protects both sides if the total is disputed months later.

Do I have to give a receipt?

It depends where you trade and how you were paid. Several countries require a receipt on request, and some require one automatically above a certain cash amount. Beyond the legal minimum it is simply good practice: a customer who cannot prove they paid is a customer who may ask you to prove they did not.
